MeetMat Privacy Policy
Last updated: October 31, 2026
MeetMat (also listed as Audio Notes: Meeting Guide) is operated by Mohamed Zaabouli. This notice explains how the native iPhone and iPad app handles recordings, meeting notes and purchases. Contact: mohamedzaabouli01@gmail.com.
What stays on your device
No MeetMat account or Google/Apple sign-in is required. Your recordings, imported files, saved transcripts, summaries, personal notes and preferences are stored in the app's local library. Optional assistant owner names are remembered locally. Apple device backups may include this library, depending on your settings. Exported or shared copies are controlled by you and their recipients.
When data leaves your device
- AI notes from recordings: when you confirm online processing, the selected audio is sent through our Cloudflare service to Groq for transcription. The transcript is sent to Groq to generate summaries, key points, decisions and actions. Longer recordings may be processed in segments. Saving or playing a local recording alone does not upload it for AI processing.
- Meeting assistants: when you request an assistant, Cloudflare and Recall.ai receive the meeting URL, title, optional owner name, language, schedule and recording settings. Recall joins the meeting and processes its audio and participant information, including available speaker names, to produce a transcript. The transcript is processed by Groq for AI notes. MeetMat configures audio recording rather than video recording. The meeting platform independently handles its own meeting data.
- Purchases: Apple and RevenueCat process subscription and restoration information. RevenueCat receives an app user identifier, purchase and entitlement information, and SDK/device information needed to provide its service. MeetMat does not receive your full payment card details. Meeting audio and transcripts are not sent to RevenueCat by MeetMat.
- Service operation: our service receives installation and request identifiers, timestamps, durations, job status and usage allowance records. Network providers necessarily process connection information such as IP addresses. We use these records to complete requests, prevent duplicate charges and abuse, manage allowances and investigate failures.
- Support: if you email us, we receive your email address and the information you choose to include.
Why we process information
We process data to deliver the features you request, manage purchases and usage, protect the service and respond to support requests. We do not sell your meeting content or use it for advertising. Where applicable, processing relies on providing the service, your permission for optional processing, legitimate interests in security and support, or legal obligations. You can decline online AI processing and recording permissions; the associated feature will then be unavailable.
Optional advertising measurement
If you opt in to ad measurement in MeetMat and allow Apple's tracking permission, the Meta SDK receives app activity, subscription purchase events and associated device/network information to measure and optimize our advertising across apps and websites. MeetMat keeps collection of Apple's advertising identifier (IDFA) disabled in this integration. Other SDK-generated identifiers and connection information can still be used for measurement, which is why permission is requested. Recordings, transcripts, meeting URLs, participant names and meeting notes are not passed to Meta by MeetMat.
This choice is optional and does not affect your subscription, app features or AI allowance. You can disable future automatic event logging under Settings → Manage ad measurement, and control tracking permission in iOS Settings. Previously collected data and Meta's processing are subject to Meta's Privacy Policy; disabling measurement does not erase previously sent events. Contact us about applicable privacy rights. Meeting content is never used by MeetMat for advertising.
Storage and retention
- Local library: retained until you delete it or remove the app. If you choose a shorter "Keep recordings" period in Settings, older audio is removed from meetings whose AI notes are ready; their transcripts and notes are kept. Device backups and previously exported copies are separate. Deleting a local meeting does not itself erase temporary server or provider records.
- Uploaded-audio jobs: our database temporarily holds transcripts, AI results and job metadata. Cleanup targets deletion after 24 hours from job creation, on the next successful hourly cleanup. Uploaded audio is forwarded for processing rather than saved as a permanent audio library on our server.
- Assistant jobs: our database keeps results and job metadata for retrieval, with cleanup targeting seven days after a completed, failed or cancelled job's last update. In-progress and scheduled jobs are retained while they are needed. Recall recordings are configured with a 24-hour timed retention setting.
- Usage: short-term daily usage counters are cleaned up after seven days. Allowance period and reservation records are cleaned up 90 days after the period ends. Subscription access mappings may remain while needed to provide and protect access.
Cleanup depends on successful service operation and is not instantaneous. Provider purchase records, security records, backups, support correspondence and records required by law may have different retention periods. We do not claim that deleting local data immediately removes every provider copy.
Providers and international processing
We use Cloudflare for hosting and temporary data, Groq for AI processing, Recall.ai for meeting capture and transcription, RevenueCat for subscription management, and Apple for purchases and device services. Provider retention and processing also depend on their terms and account settings; this notice does not promise provider zero retention.
Processing can take place outside your country, including the United States. Our Recall integration uses the US West region. HTTPS protects transfers; access controls protect service credentials and job retrieval. No system can guarantee absolute security.
Your choices and requests
You can delete local meetings, export notes, control microphone access in iOS Settings and manage or cancel subscriptions in your Apple Account. Cancellation does not itself delete your meeting data. There is no MeetMat login account to delete.
For access, correction, deletion, restriction, objection or other applicable privacy rights, email mohamedzaabouli01@gmail.com. Include the meeting/request reference and approximate date if available, without sending sensitive audio unnecessarily. Because we do not require accounts, we may need proportionate information to identify and verify a request. You may also contact your local data protection authority where applicable.
Recording and children
Only record or send an assistant when you have the required permission and have informed participants as appropriate. The app is not intended for children under 13, and we do not knowingly collect their personal information.
Updates
We will update this notice when our data practices change and indicate the update date. Material changes will be communicated as required.
